Privacy Policy

This policy explains what personal data HoldMyCall collects, why, and what your rights are. It is written for UK users under UK GDPR and we have tried to keep it in plain English.
1. What we collect
- Your account email address and profile details (display name, timezone, your phone number if you add one).
- Call setup details: the number you ask us to call, your objective, and any supporting information you provide for the call.
- Call audio recordings, transcripts and AI-generated summaries of the calls the agent makes for you.
- Feedback you send us, including ratings and comments on individual calls.
- Service usage data such as call durations and what each call costs us to run.
- If you join the waitlist, your email address.
2. Recording and disclosure
Calls are recorded and transcribed because that is how the service delivers your report. The agent discloses that it is an AI assistant at the start of every call.
If you take over a call from the agent, the rest of the call is still recorded so your report is complete, though live transcription stops at the handover. Recordings are stored in our own storage; the working copy our telephony provider makes is deleted as soon as ours is safely stored.
Your calls are visible in your own account. Our team (currently the founder) can also access call details, including transcripts and recordings, to operate the service, investigate problems and provide support. Every such access is recorded in an internal audit log. We do not browse your calls out of curiosity, and we never share their content with anyone else.
3. Who processes your data
We use a small number of sub-processors to run the service:
- Twilio: telephony and call recording
- Deepgram and ElevenLabs (via Twilio): speech-to-text and text-to-speech
- Anthropic: the language model behind the agent
- Fly.io: hosting for the live call engine
- Supabase: database and storage
- Vercel: web hosting and cookieless, aggregate page analytics
- Resend: transactional email
We do not sell your data, and we do not use your calls to train models.
4. How long we keep it
Call recordings and transcripts are kept for 90 days by default and then deleted. Account data is kept until you ask us to delete your account. Waitlist emails are kept until you join, or ask to be removed.
5. Your rights
Under UK GDPR you have the right to access, correct, delete and export your personal data, to object to or restrict processing, and to complain to the Information Commissioner's Office (ico.org.uk). To exercise any of these rights, email hello@holdmycall.app and we will respond within one month.
